  • VAT 404 is inconsistent about exactly R5 000 ("more than" in the text, "or more" in the table). We treat R5 000 and below as abridged, per s20(5); confirm against a current consolidation of the VAT Act.

General information, not tax advice. KayaHustle gives general information based on SARS's published rates, guides and FAQs for 2026/27 and the VAT Act and the Income Tax Act. It is not tax, legal or accounting advice, it is not SARS or the CIPC, and it does not create a professional relationship. Results are estimates that depend on what you enter; SARS decides your actual tax. Invoices and quotes are templates: you are responsible for their content. For advice on your business, speak to SARS or a registered tax practitioner. A quotation template, not legal advice. For large or risky jobs, use a written contract.

What to put in a quote

  • A quote number and date, and how long the price is valid.
  • Exactly what is included (and what is not), item by item.
  • The total, and whether VAT is included (only if you are VAT registered).
  • Your terms: deposit, timeline, and how to accept the quote.

After the customer says yes

Turn the quote into an invoice with the invoice generator. If you are a VAT vendor, issue a tax invoice within 21 days of supplying the goods or services: see what must be on a tax invoice.

Frequently asked questions

Is a quotation legally binding?

A quote is an offer. Once the customer accepts it, it can form part of a contract, so be clear about what is included, the price, how long the quote is valid and any deposit. Get the acceptance in writing (an email reply is better than nothing).

Should a quote include VAT?

Only if you are a registered VAT vendor. Then your quoted prices must include VAT, or the quote must say clearly that VAT will be added. If you are not registered, do not add VAT.

Is a quote the same as a pro forma or tax invoice?

No. A quote is not a tax invoice and the customer cannot claim VAT on it. Once you deliver the goods or services, issue an invoice (or a tax invoice if you are VAT registered) with its own number.

How long should a quote be valid?

There is no fixed rule. 14 to 30 days is common; use a shorter period if your costs change often. The generator defaults to 30 days.

Is my information stored?

No. The quote is created in your browser and the PDF on your device. Nothing is uploaded.
